Job Description

The Washington Waldorf School is seeking a Bookkeeper to support the financial operations of the School. The Bookkeeper is an integral part of the Business Office and helps maintain accurate financial records while supporting the daily accounting and administrative functions of the School.

This position works closely with the School’s administration and reports to the Head of School with direction from the contracted Finance Director.

Primary Responsibilities

  • Manage accounts payable, including recording invoices, payments, and deposits in QuickBooks Desktop on an accrual basis.
  • Maintain and reconcile Ramp credit card transactions, ensuring accurate documentation and entry into the accounting system.
  • Enter monthly financial transactions from the School’s various payment platforms into QuickBooks.
  • Process bank deposits and assist with account reconciliations.
  • Record biweekly payroll journal entries in QuickBooks based on payroll reports.
  • Process HSA and 403(b) contributions in coordination with Human Resources, ensuring timely and accurate payments.
  • Manage monthly ad hoc billing for auxiliary programs such as lunch, aftercare, athletics, and other school activities.
  • Maintain documentation needed for financial reporting and annual audits.
  • Monitor and help manage the School’s business insurance policies, including tracking renewals and documentation.
  • Prepare reports from QuickBooks and provide financial information as requested by the Finance Director and Head of School.
  • Support general clerical and administrative functions of the Business Office.

Minimum Qualifications

  • Bachelor’s degree or equivalent experience in accounting, finance, or a related field.
  • Minimum of 2 years of bookkeeping or accounting experience, including accounts payable and receivable.
  • Minimum of 2 years with QuickBooks Desktop.
  • Proficiency in Microsoft Excel.
  • Strong attention to detail, organization, and analytical skills.
  • High ethical standards and ability to maintain confidentiality.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively with members of the School community

Preferred Experience

Preference will be given to candidates with experience using:

  • Ramp (expense and credit card management)
  • QuickBooks Desktop
  • Ravenna (student management system)
  • Veracross (student management system)
  • Online banking platforms
  • Benefits administration platforms supporting HSA and 403(b) plans
